AAM Privacy and Data Usage Policy

The board has approved the following policy; it is communicated to and confirmed by signature of anyone who may be subject to its parameters: 

Association for Accounting Marketing (AAM) collects a variety of information and data points from conference registrants, members, partners and those engaged in association activities. Please take a moment to read the following to learn more about our information practices, including what type of information is gathered, how the information is used and for what purposes, to whom we disclose the information, and how we safeguard your personal information. 

Information Collection

AAM collects personal information in order to deliver a superior level of customer service. To facilitate online transactions and allow user access to Members-Only features (such as AAM Connect), AAM collects certain information such as names, addresses, membership IDS and credit card numbers. In addition, your personal information helps us to keep you posted on the latest meetings, products and events that you might like to hear about. 

The AAM websites (including, but not limited to, accountingmarketing.org, AAM Connect and cpagrowthtrends.com) require you to provide personally identifiable information in order to use certain functions of the site. By providing such information, you consent to AAM’s collection and use of it, as described in this Privacy and Data Usage Policy. 

The information you provide may include information collected during the registration process, including contact information (name, address, phone number, e-mail address) and financial information (credit card number). This information will be used to process your membership and/or registration and, if necessary, to contact you regarding the status of your membership or registration. 

AAM will not ask your permission to collect or use aggregate information about website visitors or users of our products and services, since aggregate data does not identify you as a specific individual. 

Information Disclosure

AAM takes your privacy very seriously. Be assured that AAM does not sell or rent your e-mail address to other companies. To help us provide superior service, we may share personal information with credit card processing companies, merchants and any other third party that may need the information for your request to be processed. These organizations have their own privacy and collection practices, and AAM is not responsible for their independent policies. At times we may be required by law or litigation to disclose your personal information. We may also disclose information about you if we determine that for national security, law enforcement, or other issues of public importance, disclosure is necessary. 

When using the AAM Connect online community, information that users post or share is automatically shared with other secure users. 

Service Delivery

AAM contracts with an Association Management Company, AMR Management Services, Inc., for the daily administration of AAM’s business functions. You agree that AAM may share collected data for said purposes in the execution of the services provided. Additionally, AAM contracts with third party suppliers in the fulfillment of service delivery. You agree to allow AAM to share your personal data limited to the fulfillment of the service and understand that AAM will require that all third-party suppliers abide these terms in their fulfillment of said services. 

Specific examples of the data required for full delivery on conference-related services are:

  • ADA needs and dietary preferences/needs shared event staff, the conference hotel as well as off-site restaurants, caterers, vendors or venues providing services to the conference.
  • Contact information (name, selected preferences) to confirm your rooming needs and your reservation at the conference hotel.
  • Contact information (name, selected preferences) used to confirm travel or transportation arrangements, where appropriate.
  • Emergency Contact information (name, phone number, relationship) used only to communicate with designated individuals in case of an emergency or crisis situation. 

Payment

Electronic payment for membership and the AAM Store are taken and managed through Payroc and event registrations is taken and managed through PayPal. Payments are processed in PCI compliant practices and information is stored only for the purpose of completing the transactions. 

Legal Disclosures

It is possible that AAM will need to disclose information about you when required by law, subpoena, or other legal process or if we have in good faith belief that disclosure is reasonable necessary to 1.) investigate, prevent, or take action regarding suspected ethics violations, actual illegal activities, or to assist government enforcement agencies; 2.) enforce our agreement with you; 3.) investigate and defend ourselves against any third-party claims or allegations; 4.) protect the security or integrity of our services; 5.) exercise the rights and safety of AAM, you, personnel or others. We will attempt to notify you about any legal demands for personal data when appropriate in our judgement, unless prohibited by a court of law or court order or when the request is an emergency.

AAM, our suppliers and/or partners do not share or sell your personal data with third parties for their direct marketing purposes without your permission. 

Retaining Data

We may retain your personal data while you are registered to use our site(s). Additionally, we may retain your personal data for any period that is permissible or required under applicable laws, contracts, or professional regulations. Even if we delete your personal data, it may still be held on backup or archival media for an additional period for legal, tax, or regulatory reasons, or for legitimate and lawful business purposes. 

How to Opt-Out of AAM Electronic Communications

We may send you information about our programs, products, and services via e-mail messages. If you no longer wish to receive our e-mail newsletter or promotional messages, you may opt-out of receiving these communications by following the “unsubscribe” instructions in the e-mail message. It may take us up to five business days to process an unsubscribe request, and please note that even after you opt out of all electronic communications, we will retain your data in accordance with this Privacy Policy, although we will no longer use that information to contact you. 

Use of Cookies

Like many websites, accountingmarketing.org uses “cookies” and other technologies to help us understand which parts of the website are the most popular, where our visitors are going, and how much time they spend there. We use cookies and other technologies to study traffic patterns on our websites, to make it even more rewarding as well as to study the effectiveness of our customer communications. And we use cookies to customize your experience and provide greater convenience each time you interact with us. 

If you do not want information collected using cookies, there is a simple procedure in most browsers that allows you to disable or enable the cookie feature. Please note that cookies may be necessary to enable you to use certain features on our website.

The AAM websites contain links to other sites. AAM is not responsible for the privacy practices of such sites. This privacy and data usage policy applies solely to information collected on our website.

Information Security 

AAM will take every precaution to protect your personal information. All personal information collected on individuals will be kept confidential and in a secure environment. Access to personal information will be restricted to only those personnel with a legitimate business purpose. 

State Privacy Rights

California Civil Code Section § 1798.83 and Virginia Code Title 59.1-571, et seq. grants certain users of our site(s) that are California or Virginia residents, respectively, rights related to personal information, including, among other things, the right to request certain information regarding our disclosure of personal information to third parties for direct marketing purposes. Children Under the Age of 18

Our site(s) are not intended for children under 18 years of age. No one under age 18 may provide any information to or on the site(s). We do not knowingly collect personal information from minors under 18. If you are under 18, do not use or provide any information on the site(s) or on or through any of its features, register on the site(s), make any purchases through the site(s), use any of the interactive or public comment features of the site(s), or provide any information about yourself to us, including your name, address, telephone number, email address, or any screen name or user name you may use. If we learn we have collected or received personal information from a child under 18 without verification of parental consent, we will delete that information. Changes to this Privacy and Data Usage Policy

The site(s) and our business may change from time to time. As a result, at times it may be necessary for us to make changes to this Privacy and Data Usage Policy. We reserve the right, in our sole discretion, to update or modify this Privacy and Data Usage Policy at any time. Modifications to this policy will be posted to the site(s) with a change to the “Last modified” date at the top of this policy. In certain circumstances AAM may, but need not, to provide you with additional notice of such modifications, such as via email or with in-site notifications. Modifications will be effective thirty (30) days following the “Last modified” date or such other date as communicated in any other notice to you. 

Please review this policy periodically, and especially before you provide any personal information. This policy was updated on the date indicated above. Your continued use of the site(s) following the effectiveness of any modifications to this policy constitutes acceptance of those modifications. If any modification to this policy is not acceptable to you, you should cease accessing, browsing, and otherwise using the sites. Notwithstanding anything to the contrary in this policy, nothing herein is meant to preempt or alter our professional obligations, related confidentiality requirements, and / or contractual obligations.
